Summary:
Under general direction, the Executive Administrative Assistant serves as the confidential administrative assistant to the Superintendent, performing a wide variety of highly independent, difficult and complex administrative support services for the office of the Superintendent.
Performs highly responsible duties as confidential administrative assistant to the Superintendent, relieving the administrator of a variety of secretarial and administrative details.
Representative Duties and
Responsibilities:
? Plans, coordinates and organizes activities and coordinates flow of communications; maintains confidentiality of privileged and sensitive information ? Receives and routes telephone calls, refers calls or visitors; responds to requests, complaints and questions from officials, staff and the public; represents the school through phone and written communications; interprets policies and regulations to officials, staff and the public ? Coordinates and schedules various appointments and meetings; maintains and coordinates the administrator's calendar; prepares and disseminates a calendar of events.
? Writes effective correspondence, documents, and other materials on a variety of matters including those of a confidential nature; compiles and types various letters, reports, memos, bulletins, lists and other materials as directed; prepares, formats, edits and proofreads written materials.
? Assists Superintendent in editing written communications; creating multimedia presentations; independently composing, preparing, and assembling materials such as communication updates and summary reports; researching topics as directed.
? Receives, sorts, and routes incoming mail; composes replies independently or from oral direction.
? Organizes and attends a variety of meetings and compiles related notices, reports, and agendas.
? Performs special projects on behalf of the administrator; attends to administrative details on special matters, as assigned; performs varied duties related to administrator's area of responsibilities.
? Articulates school policy and procedures and conveys information regarding school programs and functions; makes decisions on procedural matters within the scope of the position's responsibility.
? Attends Board meetings and performs various administrative support for the Board meetings, including coordinating and preparing agendas and supporting materials; preparing minutes and distributing EXECUTIVE ADMINISTRATIVE ASSISTANT according to legal requirements; maintaining files of official minutes, resolutions, Board policy and appropriate attachments.
? Maintains a variety of complex records, lists, files, and records including confidential materials; assures confidentiality of information and records.
? Plans and implements activities to ensure full student enrollment such as:
a.
Work with staff to determine enrollment targeting b.
Work with staff to develop quality, targeted outreach materials c.
Work with staff to determine media campaign d.
Monitor student applications e.
Arrange student enrollment lottery logistics f.
Monitor student enrolment wait list g.
Update the student recruitment calendar annually ? Complete other duties as assigned.
Knowledge/Skills/Abilities:
? Knowledge of functions and secretarial operations of administrative office ? Understanding of applicable laws, codes, rules and regulations related to assigned activities ? Knowledge of modern office practices, procedures and equipment ? Understanding of record-keeping techniques ? Use of correct English usage, grammar, spelling, punctuation and vocabulary ? Demonstration of exceptional oral and written communications skills ? Demonstration of interpersonal skills using tact, patience and courtesy ? Understanding of methods of collecting and organizing data and information ? Knowledge of public relations techniques ? Ability to perform responsible and confidential secretarial and administrative assistant duties ? Ability to interpret, apply and explain laws, codes, rules, regulations, policies and procedures ? Ability to write effective correspondence, reports, documents, and other materials independently ? Ability to organize, coordinate and oversee office activities ? Ability to understand and resolve issues, complaints, or problems ? Knowledge of computer operation and assigned software ? Ability to establish and maintain cooperative and effective working relationships with others ? Ability to plan and organize complex work ? Knowledge of the Brown Act Board Approved:

Education, Qualifications and
Experience:
? Any combination of education and experience equivalent to:
AA degree, including or supplemented by training in business or related field and five years of increasingly responsible secretarial or administrative assistant experience performing a wide variety of duties, preferably in a school setting.
